How Hua Hng Trading saved $88,000 through digitalisation

Well established as one of the main wholesale garden centres in Singapore, Hua Hng Trading has been in the industry for more than 35 years.

The company is renowned for their wide variety of services in the landscaping arena. Their customers include individuals who are interested in gardening, large scale distributors who are seeking plant rentals, to even groups looking for training on landscaping.

Starting the Digitalisation Journey

As a business established back in 1981, Hua Hng had been using traditional processes in their routine day-to-day operations. However, their systems could not keep up with the fast-changing business environment and business growth was dampened. As a result, the management decided that digitalisation should be the way forward to enable them to remain competitive and to sustain the business in the long run.

Identifying the Issues 

In order to stay competitive, Hua Hng decided to focus on digitalising 3 areas of their main operations, namely:

1. Transport

Despite having a high volume of sales almost on a daily basis, Hua Hng’s processes were not adequately equipped to reliably capture and track the movement of their goods. This meant that they did not have real-time stock and inventory figures.

Not only that, Hua Hng also used a whiteboard to physically record their delivery operations. As such, they were unable to answer customers’ queries on delivery orders accurately and many human errors were made.

2. Retail

Hua Hng lacked a cost tracking system. Staff would often forget to add in shipping and packaging cost to the final price of items. Such negligence should not be happening.

Having over 50,000 product SKUs, sales agents found it difficult to remember the different price lists. Most staff were also unaware about which products were already discounted and how much more discounts could be given.

There was also a lack of a shopper management system. Customers’ purchase histories could not be tracked. This meant that they could not gather sufficient data for marketing and research purposes and they were also not able to cultivate customer relationships and to create repeat sales.

3. Online Storefront

Despite having an existing online store, the online stock quantity is not being updated regularly with the actual warehouse quantity. This resulted in customers getting inaccurate information, loss of sales and eventually negative goodwill.

Hua Hng reached out to us for potential solutions. We explored the features of the Accentuate ERP and how it could address Hua Hng’s issues.

Finally, the green light came after several rounds of discussion, mainly due to the solution’s affordability and its ability to solve Hua Hng’s problems.

1. Transport

A Delivery Order is automatically created and scheduled with every sale captured from both the POS system and the online store. With all the data being recorded, it is then easy to search and retrieve information whenever it is needed. This allowed Hua Hng to effectively track the progress of each order and accurately respond to order-related enquiries from customers.

 

2. Retail

Using the Accentuate Accounting module, the cost of goods will be easily factored into each sale transaction. This allowed for all products to be sold at the correct price. At the same time, inventory and stock figures will be automatically updated too. Should there be any stock-related information from customers, the staff will also be able to respond promptly and accurately.

The new system also provided Hua Hng with the flexibility to pick and choose different SKUs and to combine and create them into a whole new SKU. This new SKU will reflect a combined cost after automatically calculating the average cost of each of the individual products.

In addition, the system will also display the prices for different groups of customers, therefore the sales staff will no longer have to memorise the prices.

With all purchase information being recorded, Hua Hng will also be able to provide value-added personalised recommendations and services for their customers. This will aid Hua Hng’s marketing efforts tremendously.

 

3. Online Store

By fully integrating an online store with backend support networks, each sale transaction can now trigger automatic journal entries and stock updates accordingly. With this enhancement, customers will have access to the latest stock information and availability, thereby giving them a better and smoother online shopping experience
